Voice prompts are used in many telephony applications. In most instances, a voice prompt is a prerecorded script recorded in a human voice to “prompt” or guide callers to their desired destination or transaction. A caller might be accessing information about an account such as a balance or deposit, completing a transaction such as transferring funds or guiding the caller to a specific call center specialist.
Voice prompts can be professionally recorded by companies such as GM Voices. Or, they can be recorded on site by an employee. There are also some computer telephony systems that use Text-To-Speech or TTS generated voice prompts to instruct callers.

Voice Applications
Automated Attendant
This application answers the phone and allows the caller to ‘route themselves’ to the right person or department. In the past, a receptionist might have answered every call then routed the call to the appropriate person or department. Some companies may still employ live operators and use the automated attendant when the call flow is too heavy for the receptionist to manage. An automated attendant becomes the telephone store front for a company.
Interactive Voice Response (IVR)
These systems were most effectively employed by banking and financial institutions in the 1990s. An IVR marries ‘voice processing’ technology with a ‘database’ of information such as how much money is in your bank account or if a check has cleared. The voice prompt will speak to you based upon the information in the database.
Automatic Call Distributors (ACD)
While this technology has been used most widely in large call centers, new VoIP technologies are making it available to smaller companies. It allows you to route calls depending on a number of factors such as call center agent skills, geographic considerations and other factors. When one of the voice prompts asks you which product you’re calling about, it routes you to an agent with specific skills on that particular product line. ACDs allow companies to staff their telephone more efficiently.
Speech Recognition
This technology recognizes what the caller says then routes them appropriately. This technology was very interesting when commercially introduced in the late 1990s. Those of us in the industry hoped it would grow rapidly, but there was still some refinement required. The enthusiastic technology providers such as Nuance and SpeechWorks tried to accomplish too much, too quick in early speech recognition applications. The voice prompts did sound really good, but it took the speech scientists another few years to make the recognition components work well enough for scalable commercial applications.
Today, speech recognition applications are being deployed in most of the Fortune 1000 companies. Now that the systems work much more efficiently in recognizing the caller’s intent, they can be very effective. The most important value speech recognition brings to IVR applications is the ability to flatten all the mind numbing selection menus. When a speech recognition voice prompt instructs you to say the ‘city’ on an airline or a ‘business name’ on a 411 application, the user experience is infinitely easier.
Telematics
The talking car is no longer a sci-fi story. It’s real today and most of the major automotive manufacturers are in the game. We’ve provided voice prompts for many of the major car makers over the past few years. The quality of the voice prompts heard in these premium cars is much higher than those required of phone systems. Telephone lines only transmit a small part of the human hearing sound spectrum (350 to 3500 htz) while a high fidelity sound system produces music and sound that covers most of human hearing (20 to 20,000 htz). Needless to say, the requirements for high quality voice prompt recording is way higher.

Voice Talent
How does a company choose a voice talent to record their voice prompts? We have dozens of US English voice actors who record voice prompts in our studios regularly. Many of them record on the same day each week to lower costs and provide for very predictable turnaround. Let’s face it, we all live in weekly cycles. When we learn that our voice records every Wednesday, for example, it makes it easy to coordinate recording efforts with internal customers this way. That way, a customer gets what is normally an expensive resource (voice talent) at a great price with easy to understand delivery time.
The majority of our voice prompts are recorded by women. We think it goes back to a time in business when the receptionist who answered the phone was usually a woman. Over the years, we’ve suggested to many companies that a guy might be more appropriate for their company (think hardware stores), but they’ve usually preferred a women. Maybe that’s because all the other companies use a woman’s voice?
Speech recognition has changed that a bit. Most of the speech recognition implementations over the past 10 years were driven by large companies because they were certainly expensive. Due to the expense, C-level executives were more involved and they’ve always been quick to see the branding connection when making investments of this size.
On the research side, there’s data that supports attaching genders to some products.

Levels of Quality Recording of Voice Talent
To make your application sound as natural as possible, we need to understand how the prompts are concatenated into phrases. With this information, we can direct the voice talent to the ideal intonation and inflection. We also create a reference file that is used in all subsequent recording sessions to ensure that the voice talent’s performance is consistent with the previous voice prompts.
We provide three basic levels of quality in voice prompt production:
(1) In-Context Recording
(2) Knowledge of Context Recording
(3) Touchtone List
(1) In-Context Voice Recording- Highest Quality
Here the voice talent reads the entire sentence. The segments are then separated and digitized to various file names. When the application reconstructs the prompts into full sentence phrases, the flow is much more natural. Periodically, the recording engineer, director, and voice talent cut and paste prompts into complete sentences to ensure the concatenation is smooth and natural. This process also helps ensure the voice talent delivers a consistent “persona” throughout the recording process. In-Context Voice Recording requires substantially longer production times for the voice talent, direction, and engineering staff. A Platform Assessment is required to prepare a proposal for In-Context Recording.
(2) Knowledge of Context Recording- Good Quality
In this case, the director, engineer and voice talent understands the context in which the voice prompts are to be used. The voice talent can estimate rising, falling and neutral intonations as noted throughout the script.
(3) TouchTone List Recording- Lowest Quality
We are provided with a list of voice prompts and file names without any indication as to how the prompts flow and concatenates. We can make them sound good technically; however, the concatenation of phrases will undoubtedly be less than ideal. For the application to sound natural, the voice artist must perform the dialog, as the system will present it. The Touchtone prompt recording process simply has the voice talent read a list of prompts without regard as to how they would be formed into sentences. The only way a concatenated sentence can sound natural, however, is to record the voice actor performing it in natural speech!

Subtitling And Audio Transcription/Translation

Audio Transcription and Translation
For both Spanish and French, we offer three different translation and transciption choices:
1. Interpreted Transcription
Original-language audio files are directly interpreted by a professional translator from the original source language into the target language without the use of an initial single-language transcript.
Our interpreted transcription service works much more like the way real time verbal communciations are translated. In real-time interpreting, a speaker in the source language talks and interpreter listens and immediately interprets the speaker’s words into the target language. The results may be slightly less accurate than traditional translation, but it is also much faster, less expensive and more efficient.
2. Transcription and Translation
The audio file is initially transcribed from the original audio file into a transcript in the same language, and then that source-language written transcript is translated by a professional translator. The client receives two scripts with each order: the surce-language transcript and the translated target-language transcript. This approach delivers the most accurate results, but it is slower and more expensive as a result.
3. Spanish to Spanish or French to French Transcription
This service converts your original Spanish- or French-language audio file into a written transcript in the same language. Customers receive only the one document in the original language provided (no English).
Subtitling
Subtitles are used to translate dialog from a foreign language to the native language of the audience. Compared with overdubbing, it’s the quickest and most inexpensive method of translating content. This also allows the audience to hear the original dialog and voices of the actors.
Translation of subtitling is different from written text. In fact, some cultures use subtitles artistically, utilizing different fonts and colors.
Typically, the audio is transcribed sentence by sentence and the meaning is interpreted. This ensures that the message is effectively localized. It may be also necessary to condense words in order to achieve an acceptable reading speed.
